Job Overview

We are seeking a proactive and highly organized Personal Assistant / Office Support Staff member to provide comprehensive administrative and personal support to senior management and contribute to the smooth operation of the office. The ideal candidate will be responsible for managing daily schedules, coordinating meetings, handling correspondence, and assisting with various office tasks. This role requires excellent multitasking abilities, strong communication skills, and a high level of professionalism.

Key Responsibilities

Personal Assistance

  • Schedule Management: Maintain and manage the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Correspondence Handling: Manage incoming and outgoing communications, including emails, phone calls, and letters, ensuring timely responses and follow-ups.
  • Task Prioritization: Assist with prioritizing tasks and managing time effectively to ensure all deadlines are met.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Errands & Personal Tasks: Perform personal tasks and errands as needed, such as managing personal appointments, travel bookings, and other ad-hoc tasks.

Communication & Coordination

  • Liaison Role: Act as a point of contact between the executive and internal/external stakeholders, ensuring clear and efficient communication.
  • Team Support: Provide administrative support to other members of the team as required, including assisting with projects and tasks.
  • Information Dissemination: Distribute relevant information to team members and departments, ensuring everyone is informed of updates and changes.

Office Support

  • Meeting Coordination: Organize and coordinate meetings, including booking venues, preparing agendas, taking minutes, and ensuring all necessary materials are available.
  • Document Preparation: Draft, format, and proofread documents, presentations, and reports for the executive and team.
  • Office Management: Support general office operations, including managing supplies, handling mail, and coordinating with vendors and service providers.
  • Filing & Record Keeping: Maintain organized filing systems for both electronic and physical documents, ensuring easy retrieval and secure storage.
  • Event Planning: Assist in planning and organizing company events, meetings, and conferences, handling logistics and communications as needed.

Special Projects

  • Project Assistance: Assist with special projects as directed by the executive or office manager, including research, data collection, and reporting.
  • Continuous Improvement: Identify opportunities to improve office processes and procedures to enhance efficiency and effectiveness.

Qualifications

  • Education: Bachelor degree or other certified qualification in office administration.
  • Experience: 2-4 years of experience in a personal assistant, administrative assistant, or office support role.
Skills
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • High level of professionalism and discretion.
